About the Role
True World Foods Canada's Vancouver office is seeking a bilingual (Japanese/English) Office Administrator to join our team. This role is central to our daily operations, serving as a key point of contact between our sales team, warehouse, and customers.
You will handle order processing, respond to customer inquiries, manage data entry tasks, and provide general administrative support. This is an excellent opportunity for someone who is organized, detail-oriented, and enjoys working in a fast-paced, multicultural environment. Responsibilities
- Process customer orders accurately and efficiently using our order management system
- Respond to customer inquiries via phone and email in both Japanese and English
- Coordinate with the warehouse team to ensure timely order fulfillment
- Maintain and update customer databases and records
- Prepare invoices, delivery schedules, and shipping documents
- Assist with inventory tracking and reporting
- Support the sales team with administrative tasks and client communication
- Handle general office duties (filing, supplies, correspondence)
- Translate documents and communications between Japanese and English as needed
Qualifications
- 1Bilingual fluency in Japanese and English (spoken and written)
- 2Proficiency in Microsoft Office (Excel, Word, Outlook)
- 3Strong organizational skills and attention to detail
- 4Excellent communication and customer service skills
- 5Ability to multitask and prioritize in a fast-paced environment
- 6Legal authorization to work in Canada (including working holiday visa)
Preferred Qualifications
- 1-2 years of office administration or customer service experience
- Experience with order management or ERP systems
- Knowledge of the food service or distribution industry
- Experience with data entry and database management
- Familiarity with Canadian business practices and culture
