Privacy Policy
True World Foods Canada respects the privacy of the businesses and professionals we serve. This policy explains what personal information we collect through this website and in the course of our wholesale operations, why we collect it, how we protect it, and the choices you have.
In Short
- We collect business contact details you give us through our forms, plus limited technical data from your visit.
- We use that information to respond to you, supply products, and improve our service, nothing more.
- We do not sell, rent, or trade your personal information.
- You can ask us at any time what we hold about you, have it corrected, or withdraw your consent.
01Scope of This Policy
True World Foods Canada (“True World Foods Canada,” “we,” “us,” or “our”) is a wholesale distributor of Japanese food products serving restaurants, hotels, retailers, and food service professionals across Canada. This policy applies to personal information we collect through this website, through our contact, catalog, consultation, and webinar registration forms, by email or telephone, and in the course of supplying products to our customers.
We handle personal information in accordance with Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA) and the applicable privacy legislation of the provinces in which we operate, including British Columbia, Alberta, Ontario, and Quebec.
Because we are a business-to-business distributor, most of the information we handle is business contact information, the name, title, business address, business email, and business telephone number of a person acting in a professional capacity. Some privacy legislation treats business contact information differently from personal information. Where that is the case, we still apply the safeguards described in this policy.
02Information We Collect
We collect only the information we need for the purposes described in this policy. We do not require you to create an account to browse this website.
Information you give us
Depending on which form you complete, we may collect:
- Contact inquiries: your name, business name, business email address, telephone number, business type, inquiry type, nearest location, and the content of your message.
- Catalog requests: your name, business name, business email address, telephone number, business type, nearest location, and the product categories you are interested in.
- Consultation bookings: your name, business name, email address, telephone number, your role, preferred location, preferred date and time, the type of consultation requested, and any notes you provide.
- Webinar and event registrations: your name, business name, email address, your role, and the session you are registering for.
- Career applications: your name, contact details, resume, cover letter, work eligibility, and any other information you choose to send us when applying for a position.
- Customer and ordering records: where you become a customer, the account, delivery, and ordering information required to serve you, including delivery addresses, contact persons, and order history.
Information collected automatically
Like most websites, our web server and the services we use record limited technical information when you visit, including your IP address, browser type and version, device type, operating system, referring page, the pages you view, and the date and time of your visit. This information is used in aggregate to keep the site secure and to understand which content is useful.
Information we do not collect
We do not collect payment card numbers through this website. We do not knowingly collect sensitive personal information such as health information, and we ask that you do not include it in messages sent to us.
03How We Use Your Information
We use personal information for the following purposes:
- To respond to your inquiry and connect you with the right member of our team or your nearest location.
- To provide the catalog, consultation, webinar, or other material you requested.
- To establish and manage a wholesale account, process and deliver orders, and provide customer support.
- To send service communications such as order confirmations, delivery notices, product availability updates, and changes to our terms.
- To send commercial messages, such as seasonal availability updates, new product announcements, and event invitations, where you have consented or where consent is implied under applicable law.
- To assess applications for employment.
- To maintain the security and integrity of our website and systems, and to detect and prevent fraud or misuse.
- To improve our products, services, and website content.
- To meet legal, regulatory, food safety, and traceability obligations, including record keeping required of food distributors.
We will not use your personal information for a new purpose that is materially different from those listed above without first obtaining your consent, unless required or permitted by law.
04Consent
By submitting a form on this website, emailing us, or placing an order, you consent to our collection, use, and disclosure of the personal information you provide for the purposes described in this policy. Where the purpose is not obvious, we will explain it at the point of collection.
You may withdraw your consent at any time, subject to legal and contractual restrictions and reasonable notice. If you withdraw consent, we may no longer be able to provide certain services to you, for example we cannot deliver an order without the delivery contact information. To withdraw consent, contact us using the details in section 14.
05Cookies & Similar Technologies
Cookies are small text files placed on your device by a website. We use them sparingly:
- Essential cookies are required for the website to function, for example to keep a form submission secure or to remember that a message has been sent. These cannot be turned off through our site.
- Analytics cookies may be used to understand, in aggregate, how visitors find and use our site so we can improve it. This data is not used to identify you personally.
- Third-party cookies may be set by embedded content such as videos and maps when you load a page containing them. See section 6.
Most browsers let you refuse or delete cookies through their settings. Blocking cookies may affect how parts of this website behave. We do not respond to browser “Do Not Track” signals, as no common standard for them has been adopted.
06Third-Party Services & Links
This website uses a small number of third-party services. When content from these services loads, the provider may receive your IP address and set its own cookies under its own privacy policy:
- Google Fonts, to deliver the typefaces used across the site.
- Google Maps, to display the map on each of our location pages.
- YouTube, to play the videos embedded in our video library and knowledge content.
- Our website host and email provider, which process form submissions and store them so we can reply to you.
Our website also links to external sites, including our social media profiles and those of our partners. We are not responsible for the privacy practices or content of sites we do not operate. We encourage you to read the privacy policy of any site you visit.
07When We Disclose Information
We do not sell, rent, or trade personal information. We disclose it only in the following circumstances:
- Within our organization, to the team or regional facility best able to serve you, including our head office in Richmond, British Columbia and our facilities in Calgary, Mississauga, Montreal, and Vancouver Island.
- To affiliates within the True World Group, where necessary to fulfill your request or supply your order.
- To service providers who act on our behalf, such as website hosting, email delivery, logistics and freight carriers, and IT support. These providers may use your information only for the purpose we engaged them for and are required to protect it.
- Where required or permitted by law, including in response to a valid order of a court or regulator, for food safety and product traceability obligations, or to investigate a suspected breach of an agreement or of the law.
- In connection with a business transaction, such as a merger, acquisition, or sale of assets, in which case the information would remain subject to protections consistent with this policy.
08Storage, Transfers & Retention
Personal information we collect may be stored and processed in Canada or in the United States by us, by our affiliates, or by our service providers. Information stored outside Canada is subject to the laws of the country in which it is held, and may be accessible to the courts, law enforcement, and national security authorities of that country.
We retain personal information only as long as necessary for the purposes for which it was collected, or as required by law. Inquiry and form submissions are generally retained for as long as needed to answer your request and maintain a record of our correspondence. Customer, ordering, and traceability records are retained for the periods required by tax, commercial, and food safety legislation. When information is no longer required, it is securely destroyed, erased, or made anonymous.
09How We Protect Your Information
We maintain physical, organizational, and technical safeguards appropriate to the sensitivity of the information we hold. These include encrypted connections (HTTPS) across this website, access controls that limit personal information to staff who need it to do their jobs, secured premises and systems, and confidentiality obligations for employees and service providers.
No method of transmission over the internet or method of electronic storage is completely secure. While we work to protect your information, we cannot guarantee absolute security. Please do not send confidential or sensitive information to us by unencrypted email.
